Key Duties and Responsibilities:
The primary goal is to provide an efficient and responsive administrative, organizational, and logistical service, helping to manage and prioritize time.
Manage and maintain calendar, schedule meeting on behalf, utilizing strong judgment in managing priorities of requests and escalating as necessary
Represent the office in a professional manner, including the communication of business information and decisions to others in the organization. Maintain the confidentiality of visitors and business conducted in the executive offices. Handle internal and external customer issues, problem-solve as required, and provide responsive customer service at all times.
Provide project management and deadline tracking; travel arrangements and itineraries; timely and organized expense report preparation; process all expense reports, ensuring all documents are completed correctly and submitted accordingly; conceptualizing and preparing documents, agenda, spreadsheets, and presentations, taking minutes as required. Track and report about the progress in tasks, highlight the issues needed attention.
Plan, manage and implement meetings, special organization events, including celebrations, key manager calls, board of directors meetings, clients/prospects appointments etc. Respond to inquiries and requests or direct to responsible party for action, as required.
Organising and maintaining schedules and making appointments, coordination;
Dealing with incoming emails and post;
Meeting and greeting visitors at all levels of seniority;
Arranging travel, visas and accommodation;
Carrying out background research and presenting findings;
Producing documents, briefing papers, reports and presentations;
Organising and attending meetings and ensuring the manager is well prepared for meetings;
Organization of the workflow (copying, scanning, sending, preparing for the manager’s signature, Internet search etc.)
Administrative tasks (buying all the necessary materials, office supplies, products, and other things for the office functioning)
Liaising with clients, suppliers and other staff;
Carry out marketing and business researches; assist in PR (such as articles writing, attending special events) if required; generate and form the business reports upon request, assemble data.
Lead small, ad-hoc teams to accomplish tasks/projects. Able to gather, organize and display information effectively for executive presentation, display professionalism while working with all levels within and external to the organization.
Perform a variety of general office duties, including filing, ordering supplies, photocopying, scanning etc.
Excellent organizational skills, ability to multi-task and organize others
Work experience – 1+ years in a similar position (within international firm is a plus);
Good organisational and time management skills;
Ability to work under pressure and to tight deadlines;
Flexibility and adaptability to juggle a range of different tasks and to work extra hours to meet deadlines;
Excellent knowledge of all office equipment
Good user of PC
Desire to work in team

Ability to set priorities

Excellent spoken and written English, Ukrainian and Russian language skills
Excellent administrative skills and experience

Experience assisting management with the creation of PowerPoint presentations
Strong knowledge of MS Office, including Word, Excel, PowerPoint and Outlook
Knowledge of MS Office tools Knowledge of MS Excel or Google Sheets, ability to maintain formulas and create charts, pivots, reports and online analogues — Google Docs
