Administrator (maternity replacement)

Duties and responsibilities:

  • Meeting guests. - Be responsible for internal and external communication
  • Receiving incoming mails and calls and distribution between managers
  • Registration of incoming/outgoing documents, maintaining the registers of other administrative measures where necessary
  • Processing, sorting and transfer to recipients of all incoming correspondence. Sort and organize external information and documents
  • Support the atmosphere in the office life
  • Maintaining stocks (Ordering office supplies) of stationery and other office stuff (tea, coffee, water etc.)
  • Managing diaries, booking appointments
  • Organization of business trips, meetings and negotiations (reservation of hotels, tickets and assistance in the preparation of meetings).
  • Filing visa applications; Resolving issues with embassies.
  • Working with suppliers to obtain the best value for plane tickets, hotels, etc
  • Personal assistance to managers
  • Organization of partnership trip abroad
  • Provide administrative and clerical support
  • Maintaining office system
  • Maintaining monthly budgets as well as invoices
  • Deal with acts of acceptance, schedule appointments
  • Travel support (arranging tickets, visas, hotels, transfer)
  • Written/oral translation (English-Russian/Ukrainian)
  • Preparing official letters
  • Filling in SAP vendors information
  • HR support (Documents tracking, team building organization)
  • Control and regular update at folders with birthday information, company phone numbers for current and new employees
  • Working with suppliers to obtain the best value for plane tickets, hotels, etc
  • Support to Senior HR Specialist

What working experience is preferred/ competencies required

  • Сandidate with experience 1-2 years as receptionist, office support
  • Excellent knowledge of Microsoft Office and strong computer skills
  • Knowledge of company structure and procedures
  • Accuracy & Punctuality/ Excellent verbal and written skills in English, Ukrainian and Russian. Turkish is an advantage
