Background:

  • The OSCE Special Monitoring Mission to Ukraine is looking for highly qualified, motivated and experienced Ukrainian professionals for the position of Administrative / Supply Assistant with its Field Office in Donetsk. The OSCE is committed to achieving a better balance of women and men within the Organization.
  • NOTE: Initial duration of appointment/assignment for this post is until 31 March 2017, subject to a subsequent OSCE Permanent Council Decision to extend the mandate of the Mission. Confirmation of post grade is pending completion of classification review.

Tasks and Responsibilities:

  • Under the direct supervision of the Operations Support Officer and overall guidance of the Chief Fund Administration, the incumbent assists with administration of Mission Members.
  • Takes inventory and analyses all documentation such as invoices, bills and other supply documents;
  • Prepares shipping documentation;
  • Analyses items and checks the quality of materials before preparing them for dispatch;
  • Makes sure all supplies are sent on due time;
  • Makes sure goods reach the correct destination;
  • Monitors the stock levels;
  • Registers all documents and handles customer and supplier databases;
  • Ensures compliance with supply chain activities standards and regulations;
  • Keeps maintenance within the warehouse;
  • Performs research activities in order to identify new solutions for logistical challenges;
  • Performs several clerical duties for management;
  • Prepares reports concerning supply chain operations;
  • Assists the supply chain manager in planning and organizing the distribution of goods;
  • Performs other tasks as assigned.

Necessary Qualifications:

  • The candidates should have the following minimum qualifications:
  • Citizenship of Ukraine;
  • Secondary education supplemented by specialized studies in Administration or related field;
  • Four-year experience in administrative work;
  • Professional fluency in the English, Ukrainian and Russian languages, both oral and written;
  • Ability to operate Windows applications, including word processing and email;
  • Ability to adjust to a broad range of new tasks in a complex administrational environment in a short timeframe;
  • Demonstrated ability and willingness to work as a member of a team, with people of different cultural and religious backgrounds, different gender, and diverse political views, while maintaining impartiality and objectivity;
  • Demonstrated gender awareness and sensitivity, as well as the ability to integrate a gender perspective into tasks and activities;
  • Cultural sensitivity and judgment.

Remuneration Package:

  • Monthly remuneration, subject to social security deductions is 988.00 Euro/month. Social benefits will include participation in the Cigna Health Insurance scheme. Appointments are normally made at step 1 of the applicable OSCE salary scale. At the discretion of the appointing authority a higher step may be approved up to a maximum of step 3 subject to specific conditions.
