The Company

The client of Acteon is a company headquartered in France specializing in all-inclusive high-premium holidays around the world. The company owns and operates more than 70 villages located in the most prestigious areas and locations both for Summer and Winter leisure.

The Position

Employment function of the PROJECT COORDINATOR is to assist and participate in the
coordination and realization of various marketing Projects and to provide administrative support to
colleagues in the office to maintain an efficient office environment.

THE DUTIES OF PROJECT COORDINATOR:

A. Coordinate different types of projects for the office team:

  • Support in organization of various events (incl Russian weeks in resorts)
  • Support in collection of materials like best photo-selection, product info for sales teams, best- cases, reporting, etc.
  • Organization of production of branded materials /give-aways like pens, notebooks, etc. and client’s gifts (NY, other occasions), other ad-hoc clients’ related projects coordination
  • Translations (English-Russian, Russian-English) including product and website related
  • Coordination of various projects on request from departments: MRKT, Indirect, Finance,
  • Admin
  • Support in organization of press-trips and corporate trips (tickets, insurance, transfer, etc.)
  • Simple market/pricing and competitive research
  • Coordination of various feedbacks collection
  • Various data collection for reporting
  • Support during tender organization (calls to agencies/suppliers, tender tables building, etc)
  • Contacts and projects coordination related to tourism offices

B. Maintaining office workflow as uninterrupted process assuring an efficient office
environment.:

  • life support offices (purchase of office, household chemicals, water, coffee, medicines);
  • organization of minor repairs;
  • communication with the administration of business center and the cleaning company
  • management of IT requests;
  • meeting and greeting visitors, ordering passes if necessary, tea / coffee;
  • handle General manager’s requests: data management, filing and archiving documents, preparation of expense reports for General manager;
  • assistance with migration issues;
  • interaction with courier service, the accommodation of guests in Moscow, transfers, organization of entertainment program, booking of restaurants;
  • preparation of invitations for business visas for foreign colleagues, interaction with assistants in Paris on organizational issues;
  • organization of corporate events, team building;
  • Preparation of power point presentations, redaction of minute of meeting;

The Candidate

PROJECT COORDINATOR should have:

  • higher education (education in marketing sphere as a plus);
  • experience in marketing assistant position;
  • experience as office assistant as a plus;
  • organization and planning skills, work management and prioritizing skills, verbal and written communication skills, attention to detail, accuracy.

PROJECT COORDINATOR should have the following competencies:

  • ability to manage and prioritize multiple assignments;
  • initiative;
  • ability to work in a team;
  • stress resistance;
  • friendliness;
  • results orientation: desire to achieve personal goals and company goals;
  • physical activity (to meet the standards of the company);
  • English language level not lower than «Intermediate» (French is a plus);
  • to confidently use Microsoft Office programs.
