HR Administrator / Logistic and Transport Coordinator / Site Manager Assistant
· Preparing Rotation schedules, control rotation plan for all employees on site including Expatriate staff, (in total: 300 employees in one rotation on the site).
· By Rotation plan arranging accommodation, hotel, transportation, flight/train tickets.
· To prepare reports, acts, orders, notice of resignation, application for dismissal, application forms.
· Checking data updating as necessary. Submitting to HR as required. General support on HR issues.
· Document management, including filing, updating, tracking, formatting of newcomers to the company.
· To assist newcomers, visitors, (vendors) joined to the Company with the required procedures (Induction courses, badges, meals, transportation, NK, e-mail account), arrangement of working conditions – desk office, PC, landline, mobile (if required) in coordination and cooperation.
· Effective relations with HRO, ICT, Travel, Procurement, Finance, Office Support, Security, HSE, Camp Administrations (Sicim and Vaternas Camp).
· To follow open positions, inform on time Management and Recruitment department of Company.
· To keep confidentiality of HR department communications and company information as well as respect the privacy of company employees.
· To arrange required all training courses for site employees.
· On Monthly base to check invoices off POB Time Sheets of accommodations (Sicim and Vaternas Camp).
· On Weekly base to check Daily Presence Reports, Timesheets from Timekeepers report.
· Resolving interface issues.
· Making different kind of reports.
· Issuing certificates of present and ex-employees.
· Work for submission to the other companies or institutions.
· Review of management project decisions relating to HR activities.
· Obtaining required information from the structural units of the enterprise in relation to HR activities.
· Contribute to the leadership team with proposals to improve the HR functions.
· Progress resolution of site Technical Queries.
· Arranging and attending weekly Project Committee meetings ensuring all the previous relevant agendas were discussed and all required actions were recorded in the minutes of meeting.
· Coordination between Engineering, Project Engineering and Management.
· Prepared workflow spread sheets for on-going projects.
